How to use this template

1
Complete BEFORE touching the vehicle

Fill out the form before you start any work. Once you have touched the vehicle, any undocumented damage can become a dispute.

2
Rate paint and interior on 1–5

1 = Poor condition (heavy damage, staining), 5 = Excellent (minimal flaws). This gives you a quick reference for before/after comparisons.

3
Take photos of every noted issue

Photos are your best protection. Take photos of any existing chips, scratches, dents, or stains before work begins. Store them with the inspection record. Mark Photos Taken = Y once done.

4
Get customer signature

Ask the customer to sign the form before they leave. This confirms they reviewed and agreed to the documented condition. Keep a copy for your records.

5
Note items left in the vehicle

Log any valuables or personal items left in the car (sunglasses, cash, car seats, documents). This protects you if a customer claims something is missing.

Frequently asked questions

Is a pre-detail inspection form legally required?

It is generally not legally required, but it is strongly recommended for any professional detailing business. Without documentation, you have no proof that a scratch existed before you touched the vehicle. One dispute over pre-existing damage can cost more than months of bookings.

Can I do the pre-detail inspection digitally?

Yes. Many detailers use this CSV form in a tablet-based spreadsheet, or photograph a printed form alongside photos of the vehicle. DetailFlowPro allows you to add notes to customer vehicle records — store inspection summaries there for future reference.
